Payment of the agency fee is deemed as accepting these terms and conditions.
Astrarche act as an introductory agent only and our role is simply to allocate a nanny to you: the nanny is not employed either directly or indirectly by Astrarche and, although we will check the references provided by the nanny and make every effort to match your requirements regarding experience/interests of individual nannies, we give no guarantee as to suitability or experience of the nannies we allocate. Under normal circumstances the same nanny/nannies will be allocated for the entire booking. However, in some cases eg. illness, it may be necessary for a replacement nanny to complete the booking, even if the original nanny has already started. This will not be accepted as a reason for the client to cancel the booking and no monies will be refunded in this case.
Once your nanny’s details have been passed to you, we strongly advise you to contact her and check that she is suitable and that she meets your specific requirements. Any relevant and legal paperwork and permit MUST be checked by you/the client. This includes visa, passport and health check before you employ the nanny, especially for longer term positions. We suggest that you arrange a meeting the evening before your booking or two face to face meetings for long term engagements. We will endeavour to provide you with a profile of the nanny, which has been provided to us by him/her. This will be by email or verbally eg. in last minute bookings. If you have any further queries regarding the profile, please contact the agency or the nanny direct. Your nanny will have details of your booking. Any problems regarding suitability must be communicated to us before you start to use the nanny or/ and commit to the booking by paying a deposit.
Insurance
It is strongly advised that all families have insurance cover that is suitable and adequate to cover the likely needs / risks relating to their holiday , including but not limited to personal liability, medical, holiday and travel cancellation, closures of resorts and disasters, interruption and/or inconvenience and also cover for all summer sports and activities . Kidsingreece will not be held responsible for any expenses, losses or cancellations and full payment will be required according to our terms.
For cancellation refunds within the times outlined above we endevour to make payments to you in the same way you paid with exception to cash payments and if bank charges occur in result of this we will charge you for these .
Refund requests will be dealt within one week of the day your reservation ended.
Deposits/ introductory fee
For each booking made there is a deposit agreed with Astrarche at the time of the booking, and is payable to us by bank transfer.
Transfers can be made in Euros and by Paypal. Deposits include admin fees which are non refundable or deductable from the nanny’s wages.
In long term placements the first one week is a trial period. Both parties decide on the suitability of the position and conditions ( family and nanny). After this time a decision is made on the suitability of the nanny. If you cancel the nanny after the trial period the placement fee is not refundable and you must pay the nanny in full for the amount of days she worked. If you cancel the nanny during the first one week – trial we make every effort to offer other suitable replacements. If you decide not to continue with our services and not accept any replacements, and you terminate the engagement, we do not return the fee due to the work undertaken. If we offer replacement and is not suitable for a valid reason we return half the fee. If the work we have done exceeds the normal then we keep the whole of the fee ( this means if months have been taken to place the nanny and more than three nannies have been offered and interviewed/checked for one case). If the nanny leaves for any reasonable reason ( eg patterns of unreasonable behaviour or changes in her duties that were not discussed in the contract ) in the trial period, we try our best to find a replacement or return half the fee. The fee is not returned if we offer another nanny/ies and she/they are not accepted. In some cases when unreasonable time is taken to decide on the suitability and placement of a nanny the fee is not returned. The nanny’s trial period in case of termination must be paid in full.
Refunds are paid within the first month after termination. After the first month the request for a refund expires.
Behaviour
Astrarche encourage positive behaviour and understand the importance of the children’s safety at all times. If a nanny encounters inappropriate or dangerous behaviour this will be communicated with you immediately and your booking might have to be cancelled.
The nanny and family have to follow the same patterns of behavioural management when there is challenging behaviour . Unreasonable child behaviour will not be tollerated and will not be a reason for nanny dismissal.
Balance will be paid to the nanny on the FIRST DAY of engagement.
Last minute bookings to be paid in cash to the nanny on the FIRST DAY of engagement.
No booking will be confirmed and secured with us until we receive the deposit.
Confirmations of bookings and receipts are sent by email.
For last minute bookings confirmation will be sent by telephone call or a text.
Night Nannies
Any work after 7pm is regarded as night babysitting and is to be negotiated separately with your nanny, with respect to hours and hourly rate.
Cancellation by the nanny (the agency fee is not refundable)
If through circumstances beyond the nanny’s control your booking is cancelled, Astrarche hold no liability whatsoever and compensation will not be payable by Astrarche to any parties. Once the booking is made and the nanny allocated, Astrarche passes on the arrangement to you and thereafter the agreement is between you and the nanny. For any problems or complaints these should then be directed to your nanny.
If the allocated nanny is not able to carry out the services, and she cannot offer you a replacement, refunds of monies paid to her should be returned by negotiation with your nanny. If the nanny cannot fullfil the entire booking, eg. due to illness, then we will try to offer you a replacement for the period they are sick, but we cannot guarantee this. If we do offer replacement/s similar to your nanny, we do not offer any monies back and the full agreed amount should be paid.
An administration charge of £100 or €100 will apply to any cancellations, changes and for refunds.
Changes to your booking by us:
Due to some unforseen circumstances, ocassionally we might have to change your nanny and replace her/him with another one.
We will try to keep you informed and send you her/his details in advance where this is possible.
However, for last minute bookings you understand that we will not be able to do so and we will only be able to provide you with the replacement nanny’s number. Astrarche hold no liability whatsoever in these circumstances and there will be no refund or other claims against us.
Changes to your booking by you:
If you have made a reservation and you change your dates or times at a later stage without communication and agreement with us, then you will be liable to the payments of the hours reserved unless your nanny accepts otherwise. If you add nannies after the original booking has been made and/or make another booking during the season you will be required to pay another deposit and introductory fee, as stated above in “Deposits/ introductory fee”. If your children are from different families the rate changes. When you send the request you must state clearly if the reservation is for the same family or two different families.
Illness
If your child has a contagious disease during your holiday, then the nanny reserves the right to cancel part or all of your booking. In this case no refund will be given.
Cancellation by You/the client, or situations beyond control, disasters and weather closures
If the booking is cancelled by you or resulted in resort closures, the deposit is not refundable and there will be a cancellation charge as below.
Payments
Payments are agreed by email(or on call for last minute bookings) and paid to the agency and nanny separately. When you pay a deposit you immediately agree to the terms, which are also outlined on the invoice. Any questions regarding the invoice should be communicated before your nanny starts.
We have the right to change our prices without any prior notice.
In the event that you engage a nanny introduced by us for any holiday, you agree to pay our charges as discussed at the time of the booking. You agree to notify us immediately in the event that you engage a nanny introduced by us and you must not contact any nanny introduced by us to engage them directly. If you do so you will be liable for our charges. Our introductions are strictly confidential and you must not pass on details to any other person. If you do pass on details of a nanny introduced by us to another family or person you agree to pay our fees in the event of any third party engages the nanny.
